Schengen visa: flight details in an Indian application

Requirements vary by destination country, visa type, and the embassy, consulate or visa application centre handling your file. Always follow the official checklist for your post. A short-stay Schengen visa (Type C) is decided by the member state that handles your file. Supporting documents are set out in the EU Visa Code and in each post’s own checklist. Those checklists are not identical for every country or every VFS centre in India.

Official requirement considerations

EU Regulation 810/2009 (the Visa Code) and its annexes describe supporting documents that can include proof of travel arrangements. Member-state missions publish their own lists — for example Germany’s visit checklist used at VFS India refers to “flight reservation, rail tickets, others.”

Read the PDF or webpage for the exact country and city where you will lodge. If two sources disagree, the checklist given by your VFS appointment or consulate is the one to follow.

Whether flight details may be required

Many Schengen posts ask for some form of travel plan: dates in and out of the Schengen area, and often a reservation or itinerary. Some lists use the word “reservation”; others say “tickets” without defining whether that means a paid e-ticket.

Do not assume every officer will accept the same format. If your checklist is unclear, ask the centre in writing or check the embassy site before you pay for anything expensive.

Whether a fully paid ticket is necessarily required

Official lists differ. Some posts and commentary refer to a reservation or itinerary rather than a purchased ticket. Other checklists simply say “flight reservation” or “tickets.”

When to purchase actual flights

A common practical approach is to wait until you have a visa decision before buying a non-refundable fare — unless your official checklist, an employer, or a written request from the mission says otherwise.

Common mistakes to avoid

Submitting a screenshot of a fare search with no passenger name.

Dates that clash with hotel bookings, insurance or the cover letter.

Using an expired document, or editing a PDF by hand.

Submitting an expired hold, or a SAMPLE specimen, as if it were a live booking.

Treating any vendor’s sample as proof that every VFS counter will accept the same file.
